Terms and Conditions
Marigolds and Incense Girls Trip, Ubud, 19 to 24 April (“the Trip”)
By booking the Trip and paying the non-refundable deposit, or full payment, you acknowledge that you have read and understood and that you agree to be bound by these Booking Conditions. The Host and the Guest agree as follows:
1. TERMS
A. The purpose of this agreement is to set forth the details of the Trip, taking place from 19 to 24 April 2026.
B. The Trip will include the following:
1. 5 nights accommodation at the Honeymoon Guesthouse as listed on www.kateshannon.com.au/girlstrip
2. Daily breakfasts at the Honeymoon Guesthouse, 2 dinners and one lunch.
3. 4 days of activities including a cooking class, guided walk around Ubud, traditional cleansing ceremony, a trip to an eco village and spa session. Other activities may be included.
4. Airport transfers, and transport to and from activities where necessary.
C. What’s not included:
1. All additional costs for accommodation, transport, food and other not listed above are the responsibility of the Guest.
2. Flights to and from Denpasar, Bali, Indonesia.
3. Lunches and dinners (excluding lunch as part of the cooking class, and two dinners)
4. Visa on Arrival
5. Passport fees
6. Travel insurance (mandatory)
7. Excess baggage charges
8. Personal expenses such as alcohol, massages, facials and treatments, medical expenses, laundry, beverages, telephone calls and any activities not included in the Trip.
The Guest acknowledges that no other costs beyond those described here will be included in the cost of the Trip.
2. PAYMENT TERMS.
A. The cost of the Trip is $2500 AUD inc GST. A nonrefundable deposit of $500 is required on booking to confirm Guest’s place on Trip. The balance of $2000 (full price) or $1400 (Early Bird if booked before 30 Sept 2026) is required by 20 November 2026. Failure to pay in time may result in cancellation of Guest’s booking.
B. Payments are final and non-refundable.
C. If the Guest requires a payment plan, the Guest can request this from the Host when she books.
3. CANCELLATION POLICY.
Cancellation by the Guest
To cancel your booking please email ohkateshannon@gmail.com with your full name and the reason for your cancellation.
1. Payments less the deposit is fully refundable if the booking is cancelled more than 120 days before the start date of the Trip (20 December 2026)
2. Payments less the deposit will be refunded at 50% if the booking is cancelled 90-120 days before the start date of the Trip (19 January 2027)
3. Payments less the deposit will be refunded at 25% if the booking is cancelled less than 60 days before the start date of the Trip (18 February 2027)
4. There is no exception to the cancellation policy including weather, personal emergencies, flight cancellation or delays.
No partial refunds will be provided for partial attendance or early departures during the Trip.
Cancellation or changes by the Host
The Host may have to make changes to details both before and after the Trip has been confirmed and/or cancel the confirmed Trip. The Host will endeavour to avoid changes and cancellations but reserves the right to do so. If the Host must cancel, the Guest will be informed as soon as possible, no less than 60 days before departure. If you have paid in full, we will refund all monies paid, excluding Guest costs of flights and payment made for travel insurance. No other compensation will be paid in the event of cancellation by the Host.
The Host does not assume any responsibility or liability for any loss, inconvenience or expense incurred as a result of any change or cancellation, Host illness or death or event of force majeure. It is the Guest’s responsibility to ensure your travel insurance adequately protects you in the event of cancellation.
4. RELEASE. Guest agrees that the Host may take photographs, videos or audio recordings during the Trip without recourse or compensation to Guest. If Guest does not wish for their image or recordings to be used, they will advise Kate Shannon by email at ohkateshannon@gmail.com before the Trip.
5. LIABILITY WAIVER. While the Host will take every possible measure to ensure safety of the Guest during the Trip, the Host cannot control every circumstance. The Guest is legally responsible for their safety and any belongings and agrees to, and will be held legally liable for the following statements:
I, the Guest hereby accept all risk to my health and of my injury or death that may result from participating in the Trip and I hereby release the Host, and the Host’s respective companies, officers, employees, sponsors and representatives, as well as the Honeymoon Guesthouse, from any and all liability to me, my personal representatives, estate, heirs, next of kin, and assigns for any and all claims and causes of action for loss of or damage to my property and for any and all illness or injury to my person, including my death, that may result from or occur during my participation in the Trip, whether caused by negligence of the Host, employees, or representatives, or otherwise.
I further agree to indemnify and hold harmless the Host and any third-party from liability for the injury or death of any person(s) and damage to property that may result from my negligent or intentional act or omission while attending and participating in the Trip. Under no circumstances will the Host or their representatives be held liable for my injury or death or any loss or damage of my personal belongings, any hotel or travel incidentals, including any damages, resulting from my participation in the Trip.
Should I require emergency medical treatment as a result of accident or illness arising during my attendance and participation in the Trip, I consent to such treatment. I acknowledge and I agree to be financially responsible for any medical or legal bills that may be incurred as a result of emergency medical treatment. I will notify the Host verbally and in writing if I am at any time injured prior to, during, or after the retreat in my travels or attendance, or if I have medical conditions about which emergency medical personnel should be informed; however, I understand that the Host are not legally obligated to act on that information in any way or to providing any medical service whatsoever to me.
COVID-19 Assumption of Risk. I understand that while The Host has undertaken reasonable steps to lessen the risk of transmission of COVID-19 in connection with the Trip, the Host is not responsible in any manner for any risks related to COVID-19 in connection with the Trip. I am fully aware that participation in the Trip (including any related travel) carries with it certain inherent risks related to COVID-19 transmission (“Inherent Risks”) that cannot be eliminated regardless of the care taken to avoid such risks. Inherent Risks may include, but are not limited to, (1) the risk of coming into close contact with individuals or objects that may be carrying COVID-19; (2) the risk of transmitting or contracting COVID-19, directly or indirectly, to or from other individuals; and (3) injuries and complications ranging in severity from minor to catastrophic, ncluding death, resulting directly or indirectly from COVID-19 or the treatment thereof.
Further, I understand that the risks of COVID-19 are not fully understood, and that contact with, or transmission of, COVID-19 may result in risks including but not limited to loss, personal injury, sickness, death, damage, and expense, the exact nature of which are not currently ascertainable, and all of which are to be considered Inherent Risks.
I hereby voluntarily accept and assume all risk of loss, personal injury, sickness, death, damage, and expense arising from such Inherent Risks. Furthermore, I represent and warrant that I do not suffer from any medical condition or disease that might in any way hinder or prevent me from participating in the Trip, including, to my knowledge, COVID-19.
This COVID-19 Assumption of Risk, Release, and Waiver of Liability shall be binding on my heirs, executors, administrators, successors, and assigns.
6. MEDICAL & HEALTH CONDITIONS. Guest must make the Host aware at the time of booking any pre-existing medical conditions, food allergies, or if Guest is taking any specific medication, if Guest does not make the Host aware of these at the time of booking, the Host will not be held responsible for any health issues that arise from possible contraindications.
7. TRAVEL DOCUMENTATION & INSURANCE. It is the Guest’s responsibility to ensure that she has all the relevant travel documentation and travel insurance and arrives at the airport on time. Not having the correct documents is solely the responsibility of the Guest. It is the Guest’s responsibility to carry a valid passport and have obtained the appropriate visas when travelling. Please ensure that your passport is valid for 6 months beyond the duration of your Trip.
Adequate and valid travel insurance is compulsory for all guests. Your travel insurance must cover accidents, injury, illness, and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation, personal liability and cancellation, curtailment and loss of luggage and personal effects. The Host reserves the right to cancel or suspend your participation in a Trip or activities at any time with no right or refund, if you are unable to provide proof of insurance when requested.
8. TRANSPORT. The Host can accept no responsibility for delay or cancellation of any flights, train, buses or other forms of transport.
9. HEALTH, FITNESS AND AGE LIMITS. The Guest must comply fully with all and any health and safety regulations. The Trip requires a moderate level of physical fitness and mobility. If after the Trip has begun it becomes apparent that you are unfit or unsuitable to travel on the Trip, we reserve the right to require you to withdraw from the Trip at the earliest opportunity to do so. No refund will be provided. It is also a requirement that you do not cause any significant disruption to the Trip or the Trip group, as we may require you to withdraw from the Trip at any time if your participation causes significant disruption for other guests or the Trip group or there is any safety issue as a result of your ongoing participation in the Trip.
10. LOSS OR DAMAGE. Host cannot accept any responsibility for loss or damage of personal possessions or valuables of the Guest.
11. LIABILITIES. The Host shall not be liable for any failures beyond its control. This covers natural disasters, war, other ‘acts of nature’, closure of airports, civil strife, accidents or failure to perform by third parties, including suppliers and subcontractors. The Host accepts no liability for loss, damage, injury or illnesses which may be received during the Guest’s stay or travel.
12. FORCE MAJEURE. In the Trip that any cause beyond the reasonable control of either Party, including without limitation acts of nature, war, curtailment or interruption of transportation facilities, threats or acts of terrorism, country travel advisories, labour strike or civil disturbance, make it inadvisable, illegal, or impossible, either because of unreasonable increased costs or risk of injury, for either Party to perform its obligations under this Agreement, the affected Party’s performance shall be extended without liability for the period of delay or inability to perform due to such occurrence.
13. The Host operates Trips in regions where standards of accommodation, transport, safety, hygiene, medical facilities and other infrastructure may, at times not be of the standard that you are used to at home. By booking the Trip, you acknowledge that participation in all trips involve inherent risks that may not be present in the case of conventional or less demanding holidays. These risks include without limitation, the possibility of injury, death, psychological trauma, disease, loss or damage to property, inconvenience and discomfort. The parties have caused this Agreement to be signed by their duly authorised representatives as of the Effective Date.
Each traveller is advised to do the following prior to the commencement of a tour:(a) obtain medical advice about the suitability of the tour having regard to the traveller’s health and medical condition;(b) consult information published by the Australian Government for the time being about Bali, Indonesia and any particular places to be visited on the tour, including any travel advisories.
Any action, suit or proceeding arising out of or connected with this contract shall only be brought in the State of Queensland and all such proceedings shall be governed by the laws of the State of Queensland. Any claim must be notified in writing to Kate Shannon by the later of: (a) twenty-eight (28) days of arrival in the State of Queensland at the conclusion of the Trip; and (b) the date on which the traveller first became aware (or ought reasonably to have become aware) of the material facts giving rise to the claim or action. Any action, suit or proceeding arising out of or connected with this contract shall only be brought within one (1) year of the date in (a) or (b) (as the case may be). Any action, suit or proceeding brought after that date will be barred, and Tropical Trips may produce and rely on these terms and conditions as a bar to any such action, suit or proceeding, and will have no liability to the traveller in that action, suit or proceeding brought after that date will be barred, and Tropical Trips may produce and rely on these terms.
Tour Departure Requirements
We require a minimum of 6 guests per trip. Once the trip confirms 6 passengers who have paid their deposits, it guarantees that the group trip will depart. Please contact us if you would like us to confirm the current status of a trip departure.
I agree to the terms and conditions of this contract. By signing up and coming on this trip, I accept all risk involved and it has nothing to do with the Host, Kate Shannon in the event that anything takes place.
